An Applicant Portal for Coaching Institutes

Coaching institutes field a lot of "what's the status of my form?" calls. Multiply that across a season and it becomes a real drain on the front desk. ASH's applicant portal gives each applicant a private page to check their own status, hand over documents and see where their registration fee stands — without an account, an app or a phone call.

What the applicant sees

Open the link and the student sees a clean, read-only summary: their name and the course they applied for, the campus or batch, their current application stage, and a document checklist. The fee section shows the amount, whether it is paid or pending, and the reference once confirmed. It is deliberately simple — the kind of page a parent can read without help.

Documents without the email ping-pong

Collecting marksheets and ID over email is chaos. On the portal, each required document is listed with its status, and the applicant submits a link to their file directly against the right item. Only secure https links are accepted, and once your team verifies a document it locks so it cannot be overwritten. The back-and-forth of "which attachment was that?" simply goes away.

How a counsellor shares it

From the application, a counsellor issues the portal link in one action. The link carries a long, unguessable token, so it works for exactly that applicant and reveals nothing about anyone else. Drop it into a WhatsApp message or an email, and the same link keeps working as the application progresses.

Private by design

The portal shows the applicant only what concerns them. Internal notes, counsellor names, other applicants' data and everything else in your CRM are never exposed — the page is built from a narrow, safe view. There is no login to manage and no password for a student to forget, which also means one less credential for your team to support.
