The Applicant Portal: Let Students Track Their Own Application

During admissions season, counsellors spend a surprising amount of time answering the same three questions: where is my application, what documents do you still need, and has my fee been received. Each answer is quick, but multiplied across hundreds of applicants it eats the day. The Applicant Portal, now part of the ASH Education CRM, gives students a way to see much of this for themselves, through a private link tied to their own record.

A private link, not a new login

The portal is token-based. Each applicant gets a unique, private link that opens their own page, with no account to create and no password to remember. That lowers the barrier for students and parents who simply want a quick look at their status. Because the link is specific to the applicant, it shows only their information. Institutions should still share these links carefully, the same way you would treat any private reference, since anyone with the link can view that applicant's page.

What a student can see and do

The portal is intentionally focused on the handful of things applicants ask about most.

  • Application stage. The student sees where they are in the process, so the status is transparent rather than a mystery that prompts another phone call.
  • Document links. The applicant can submit links to their documents, giving your team what it needs without long email chains or lost attachments.
  • Registration-fee status. The student can follow whether their registration fee has been recorded, which removes a very common back-and-forth.

Everything the applicant sees stays connected to the same lead record your counsellors work from, so there is no separate system to reconcile.

Why this helps your team

The portal does not replace the counsellor; it removes friction around the routine updates. When students can self-serve the basics, your team spends more of its time on the conversations that actually influence a decision. It also sets a professional tone early: an applicant who can check their own progress tends to feel more informed and looked after, though of course a portal supports the experience rather than determining the outcome of any application.
