Moving from Spreadsheets to a CRM: A Simple Migration Checklist
ASH Team · 6 May 2026 · 5 min read
Almost every business starts by tracking leads in a spreadsheet or a diary. It works — until enquiries outgrow it, follow-ups slip, and no one knows the real status of a deal. Here's how to move to a CRM without the usual pain.
1. Clean your data first
Before importing, tidy up: one row per lead, consistent phone formats, remove obvious duplicates. Garbage in, garbage out — a clean start pays off for years.
2. Map your stages
Write down the real steps a lead moves through in your business (e.g. new → contacted → quoted → won). Your CRM pipeline should mirror how you actually sell, not a generic template.
3. Import in one batch
Most CRMs let you import leads from a CSV. Bring your existing leads over so you're not running two systems. The server should skip duplicates automatically.
4. Connect your lead sources
The whole point is to stop manual entry. Connect IndiaMART, Justdial, Meta ads, and your website so new leads flow in automatically from day one.
5. Get the team to use it
Adoption is where migrations fail. Pick a tool your team will actually open — ideally one that lives where they already work (WhatsApp) — and keep the workflow simple.
How ASH helps
ASH imports your existing leads from CSV, connects your lead sources, and keeps the daily workflow on WhatsApp — so the move from spreadsheets feels like a relief, not a project.
